
An IT security reviewer asks a plain question before approving a new sales tool: where does the recording of a customer call live, who can see it, and can the company delete all of it if the contract ends. Why this matters
Sales and support conversations routinely touch information a company is legally obligated to protect. A healthcare sales call may reference patient details. An insurance or financial services call may include account numbers or income figures.
A support call in any regulated industry may include names, addresses, or other personal data covered by GDPR or CCPA. A coaching platform that records, transcribes, and scores these conversations is not a peripheral tool from a compliance standpoint, it is a system that touches regulated data directly. Security and legal reviewers need to see actual controls before they sign off, not general assurances.
How it works
Outdoo is built to be compliant with GDPR, HIPAA, CCPA, and SOC 2. For organizations with data residency requirements, private cloud storage options are available so a company can control where its data is hosted rather than accepting a single default region.
Access is controlled at two layers. First, authentication: teams can log in with Email and Password, Google, Microsoft, or SAML-based SSO, so a company can standardize on whatever identity provider it already runs internally instead of managing a separate credential set for Outdoo. Admins set the session duration, for example requiring re-authentication every two months, and decide whether team members can update their own profile details. Second, role-based access controls determine what a given user can see and do once they're logged in, so a rep, a manager, and an admin don't share the same visibility into recordings or settings.
Call recordings and transcripts pass through automatic PII scrubbing, which detects and redacts personal information before that data is used for coaching or analysis. This limits what regulated information ever reaches a report or a dashboard in the first place, rather than relying on someone to remember to redact it manually after the fact.
For data lifecycle control, Outdoo has a dedicated Data Protection settings page. From there, an admin can request a full export of the organization's account data, or delete the account entirely. Deletion removes all associated call recordings, calendar meetings, usage data, and integrations, and removes every user on the account except the requester. It is a single, explicit action rather than a support ticket that depends on someone else's queue.

A security reviewer evaluating Outdoo during procurement can check SSO and role-based access configuration directly, rather than waiting on a vendor call to confirm how access is controlled. That shortens the review cycle for the buyer and reduces the back-and-forth for Outdoo's own team.
A compliance officer at a healthcare or financial services company can point to PII scrubbing and the applicable certifications when documenting how customer-facing tool vendors handle regulated data, without needing an engineer to explain the pipeline.
When a company exits a vendor relationship, whether from a contract ending or a security consolidation, an admin can request a complete data export for the record and then delete the account outright, with the scope of what gets removed shown before the deletion is confirmed.
